Itinerary Terms and Conditions

Booking Conditions: A deposit of 30% is required to confirm the itinerary. Balance is due 90 days prior to departure.

Airfare: Airfares are subject to change until paid in full. Change fees will apply once tickets are issued. Tickets are non-refundable.  A 25% change or cancellation fee applicable once tickets are issued, the balance may be applicable to another ticket.  A 100% cancellation penalty applies if canceled after the date of departure - “A No Show”.  In addition to applicable penalties listed above a $150.00 service fee will be charged for changes/ and or cancellations.

Africa Travel Centre Terms and Conditions

It is essential that you read and understand the following information before making your reservations. If you have any questions, do not hesitate to request clarifications.

Air Transportation: Airfares are constantly changing. Airlines reserve the right to add stops along their route, change, cancel, or delay flights, not honor seating requests or meal requests. This is not under Africa Travel Centre's control.  It is the traveler’s responsibility to fully acquaint themselves with the individual airline’s policies.

Airline Clause: The airlines concerned are not to be held responsible for any act, omission or event during the time the passengers are not aboard their conveyance. The passenger contract in use by the airlines concerned when issued, shall constitute the sole contract between the airline and the purchaser of these tickets.


Reservations: Reservations should be made as far in advance as possible. Lodges and camps have limited space. To assure you of your first choice of properties, guides and departure dates, an early reservation is essential. Africa Travel Centre makes every effort to provide the absolute best quality program for each client's budget. We create custom itineraries that, once created, become an all-inclusive package.  In keeping with industry standards, we only provide fully inclusive costs with our itineraries. 

Proposal/Service Fee: $100 per person. Applied to final cost.

Deposits and Payments: A 30% deposit is required to confirm any reservations. The balance or full payment is due 90 days prior to departure. In some cases, an additional deposit may be required for special services. Our quotes are based on the latest available information. Government fees such as visa fees, park fees, and exchange rates are beyond our control and are subject to change at any time.  

Travel Insurance: Africa Travel Centre requires medical evacuation insurance for all party members for the duration of your trip. Your itinerary and operator(s) for this itinerary may require comprehensive travel insurance including; trip cancellation, and interruption, accidental death and disability, emergency medical evacuation, major medical and loss of personal effects.  We will provide travel protection information with your pre-departure package, but you may attain the protection from the company of your choice. Proof of coverage will be required before final documents are sent. If proof of adequate coverage cannot be provided, you may be required to purchase coverage upon arrival in Africa. 

Accommodation: All accommodations in the bush are the best available and are based on double occupancy. Hotels in cities are as specified. 

Meals: Special meal plans are available. We will do all possible to provide for your needs. Refer to individual itineraries for meal inclusions. Beverages are generally on your own account unless otherwise stated. 

Sightseeing/Game Drives: All sightseeing is done with English speaking guides.  Refer to each program for a description of tours included. 

Luggage: Two normal-sized suitcases are allowable. However, we advise that one suitcase be sufficient for the average trip. When charter flights or small planes are involved in an itinerary, there will be weight restrictions. You will be advised at the time of booking. Personal items are always at owners’ risk.

Taxes & Gratuities: Tips to your driver/guides and camp staff are not included and this is at your sole discretion. Taxes imposed for tour services and hotels are included.

Tour information: Information on passports, visas, insurance, health considerations, reading and packing clothing suggestions will be forwarded upon receipt of deposit. Two and a half weeks prior to departure travelers will receive final documentation consisting of a detailed final itinerary and a summary of confirmed services including contact details for services in Africa.

Passport and Visas: Your passport should be valid for at least 6 months from the date of return of your trip. Visas are required in many of the African countries. Please request the requirements for the countries to be visited.  Requirements and fees for visas are subject to change at any time and are not within the Africa Travel Center's control.

Health and Inoculations: You will be advised upon booking of the current health recommendations requirements. It is your responsibility to check with your healthcare provider for additional personal considerations.

Cancellation and Refunds- Travel Insurance is highly advised.  Refunds will depend on recoverable monies that are secured from the overseas travel suppliers. Cancellation may be as much as 100% of the tour cost. Once a tour is in progress, no refund will be made for less than three days of consecutive missed services or for unused sightseeing or meals. Any claims must be made within 30 days of the termination of your tour.

Additional fees; Bank Charges, Currency Exchange Fees, and Administration Fees. 

Gorilla Permit: Once a gorilla safari is confirmed, there will be no refund for the permit portion of the trip. 

Cancellation Fees Air Costs: Air tickets will be subject to cancellation fees levied by the airlines and a $200 per ticket processing fee. 

Tour Does Not Include - Expenses for passports and visas; expenses in the United States; laundry, wine, liquor, tips for room service and items not on regular menus; excess baggage charges; health and

accident insurance; items of a personal nature and any item not specifically mentioned as included.

 

Responsibility Clause - The Africa Travel Centre of Boulder, CO., its affiliates, and related persons act as ticketing agents for hotels, airlines, transport companies and those providing accommodation, transportation, meals, tours, sightseeing or other pertinent services. All vouchers, contracts, and tickets issued by Africa Travel Centre are issued subject to current terms and conditions under which the services are provided by such hotels, airlines, transportation and tour companies.  Africa Travel Centre cannot be held responsible for any additional costs incurred by the passenger due to missed, canceled or delayed flights. These costs will be borne by the traveler. By acceptance of confirmation of services, contracts and tickets the traveler agrees to the foregoing and also agrees that neither Africa Travel Centre nor any of its affiliates shall be or become liable or responsible for any loss, injury or damage to person, property or otherwise in connection with accommodations, transportation, or other services, resulting directly or indirectly from any acts of God, dangers incident of  the bush, the sea, by fire, machinery or equipment, or acts of government or other authorities, actual or intended, wars, whether declared or not, hostilities, civil disturbances, strikes, riots, thefts, sickness, quarantines, medical or customs regulations, defaults, delays or cancellation of or changes in itinerary, from any causes beyond the control of Africa Travel Centre.  Africa Travel Centre reserves the right to decline to accept or retain any person as a traveler at any time, to make changes in hotels, itineraries whenever necessary, in its sole judgment, conditions warrant, or such changes that result from circumstances beyond the control of Africa Travel Centre; or if it is deemed necessary for the comfort, convenience or safety of the travelers. The right is reserved to alter or reverse the places visited. The right is reserved to cancel the tour prior to departure, and it is Africa Travel Centre’s sole liability to refund the monies received by Africa Travel Centre. Africa Travel Centre is not responsible nor liable for defaults of those not directly under the control of Africa Travel Centre nor responsible for the personal property of the traveler. All Travelers with groups or on individual tours will follow the instructions set forth by the final itinerary and tour documentation. It is the traveler’s responsibility to follow bush safety as explained in final documents and/or stated by guides. Africa Travel Centre cannot be responsible for inconveniences that might occur due to the lack of follow-through by the client on any of the aforementioned points. The issuance of tour documents shall be deemed consent to all of the above. 

Any and all disputes concerning this contract, the itinerary or your trip shall be resolved solely and exclusively by binding arbitration in the State of Colorado. 

Participation: An African safari can be perfectly safe; millions of travelers have gone to Africa and loved the experience. However, you are going to be exposed to wildlife and that is exactly what it is. You must respect the wildlife and ALWAYS OBEY BUSH SAFETY. It is a must to follow all the rules of the bush, including never walking alone in the dark and always listening to your guides and reading the rules stated in your final documents. During your participation in any Africa Travel Centre tour, or sub-contracted tour or  options, certain risks and dangers may arise including but not limited to, the hazards of travelling in bush areas, travel by boat, train, canoe, raft, automobile, aircraft, or other means of conveyances, the forces of nature, political unrest and accident or illness in remote areas without means of quick evacuation or medical facilities. Africa Travel Centre will assist in any emergency that may occur and do our best to provide assistance to the full extent of our ability. Costs to be borne by the traveler.  There are certain activities such as (but not limited to) hot-air ballooning, low-level flights, walking safaris, canoe trips, white-water rafting, horseback and gorilla trips that have a certain degree of danger and carry with them inherent risks.  All activities are participated in on a voluntary basis by the participant with the knowledge of the dangers involved and the participant will agree to accept any and all risks. It is hereby agreed to between the participant and Africa Travel Centre that no claims will be made against Africa Travel Centre or to sue for bodily injury, emotional trauma, death and/or property damage, however caused, as a result of the traveler's participation in the safari tour and related activities. Africa Travel Centre. and its employees will be released from all claims, actions, and demands that may occur for bodily injury, death or property damage arising from participation in a tour. The release of Liability and Assumption of Risk agreement is entered into on behalf of all members of the family participants including any minors. This agreement is binding on your heirs, legal representatives and assigns any portion of the agreement is unenforceable, the remaining portions shall remain in full force and effect. The above statements of the General Terms and Conditions will be repeated in the Africa Travel Centre Travel Service contract that will be sent with your deposit invoice. Your signature will be required. Be aware that the acceptance of documents will mean that you have read, understand and accept all of the above.
