RESERVATIONS PROCEDURES

All applications for provisional or confirmed reservations are to be made by the operator via email addressed to The African Embassy. No reservation will be made deemed unless acknowledged and accepted in writing by The African Embassy.

Provisional reservations will be held for 7 days/until we receive another request for the required rooms. We give the right of first refusal. Group reservations: The African Embassy reserves the right to request a release or confirmation of a provisional booking from the operator/guest should they receive a confirmed booking against the space held by the operator/guest or require a minimum non-refundable deposit, as stipulated on the next page, to be paid by the operator/guest within 7 days to secure the space.

INFORMATION REQUIRED

The following information is required to confirm a reservation:

• All Guests’ names as stipulated on travel documents
• Passport numbers of all guests travelling
• Nationality of all guests
• The contact number of guests if self-drive
• Date of birth of all guests travelling
• Arrival transfer details including arrival time, VERY IMPORTANT
• Departure transfer details including the time, VERY IMPORTANT
• Preferred bed status: KING OR TWIN BEDS
• Any dietary requirements
• Any special requests

PAYMENT POLICY

PAYMENT IN RESPECT OF RESERVATIONS SHALL BE AS FOLLOWS:

• A non-refundable 25% deposit upon acceptance of the reservation is to be received by The African Embassy from the operator/guest within 7 days of confirmation in respect of all bookings. The 25% deposit is from the total value of the reservation.
• The balance is due 35 days prior to the date of arrival.

NOTE: Failure to make payment within the above stipulated times may result in the automatic cancellation by The African Embassy of any reservation made by the operator/guest.

CANCELLATION POLICY

RESERVATIONS CANCELLED ARE CHARGED AS INDICATED BELOW:

• 35 - 8 days prior to arrival: 50% cancellation fee will be charged
• 7 - 0 days prior to arrival: 100% cancellation fee will be charged

Cancellation fees are calculated on the contracted rates and on the total value of the reservation. All cancellations must be in writing to The African Embassy Reservations email.

CHILD POLICY

• 0 - 4 years old (sharing with 2 full paying adults) 25% of the applicable adult sharing rate
• 5 - 14 years old (sharing with 2 full paying adults) 50% of the applicable adult sharing rate
• 15 years and older (sharing with 2 full paying adults) 75% of the applicable adult sharing rate
• 15 years and older (in own room) Full adult rate

TRAVEL INSURANCE

All travellers are strongly advised to purchase fully comprehensive travel insurance with CFAR (Cancel For Any Reason). This insurance must be able to fully cover the cancellation of travel less than 30 days prior to arrival.
