Terms and Conditions

TERMS & CONDITIONS

Reservation procedure:

Reservations must be received in writing via e-mail. Once a booking confirmation has been sent back to the agent

in writing, it is considered to be confirmed and cancellation terms and conditions apply. A 20% deposit is required

on confirmation which is non refundable. Full payment is due 60 days prior to the commencement of the guest’s

travel dates.

Mobile safari bookings can only be held on a provisional basis for 10 days after which the campsites holding the

booking will automatically release the space unless confirmed. Upon confirmation a 20% deposit is required

immediately to secure the campsite space which is non refundable. Full payment is due 60 days prior to the

guest’s arrival.

 

Payment policy:

Once reservations are confirmed in writing a 20% non-refundable deposit is required and full payment must be

received within 60 days of guest travel.

 

Reservation Policy:

All bookings are held as provisional until we receive confirmation in writing. Bookings due to travel more than 3

months (90 days) from booking date will be held on a provisional basis for 2 weeks (14 days). Should we not

receive written confirmation within 02 weeks (14 days) of booking, you will be contacted to either confirm or

release the booking. The booking will be automatically released 24 hours after written notification is sent.

 

If while holding a provisional space, another booking is received, you will be informed in writing to secure your

reservations with a written confirmation within 5 working days. Failure to revert back to us within 5 working days

will result in an automatic cancellation of the entire reservation.

Bookings made within 1 month (30 days) of travel will be held provisionally for 3 days.

Bookings made within 14 days of travel will be held provisionally for 24 hours.

 

Waitlist:

We are able to waitlist bookings for the collection on the reservations system – such requests should be sent to

us via e-mail. Should the space clear, you will be notified in writing and the standard booking procedures will

apply.

Individual (FIT) reservations:

 An individual (FIT) reservation is classified as any booking comprising 1 to 5 guests.

Cancellation policy for individual travellers and reduction in numbers:

PLEASE NOTE: Whilst any booking is held in a provisional status and another FIT booking is received, you will be

informed in writing to secure your reservation with a written confirmation within 5 working days or we will

release the requested amount of rooms. Should you not revert to us within 5 working days the requested

number of rooms will be released and you will be notified in writing thereafter with the amended details

particular to your reservation.

 

Group reservations:

 A group booking is classified as any booking of 6 or more guests per night.

 Cancellation policy for Groups:

If another GROUP booking is received; you will be informed in writing to secure your reservation with a written

confirmation within 5 working days. Failure to revert back to us within the 5 working days will result in an

automatic cancellation of the entire reservation.

Covid-19: Policy :

No special policy is applicable for COVID-19.

Insurance 

All guests travelling must be covered by their own fully comprehensive travel and medical insurance policy valid

from the date that they confirm the booking with us.

No refunds are applicable if a booking is cancelled within the cancellation period.

Special Needs, Guest Requirements & Agent Responsibility

Please complete our Booking Sheet within 30 days before travel with all of the details necessary for Footsteps in

Africa’s collection to offer the best level of service and comfort to our guests. Failure to complete this form

completely means that your guest may not receive the experience they deserve and expect.

We pride ourselves on giving individual, tailored service to each party which is only possible with your help.

Any special dietary requirements are to be sent to our reservations department at least 30 days prior to arrival

date. Failure to do so might mean that we are not able to fulfil the requests.

We endeavour to ensure that all of the information on our invoices, our website and in our brochures is accurate.

However, the onus of responsibility falls on you, as the agent, to be 100% sure that your booking sheets reflect

the exact holiday that you are purchasing for your client. Before confirming your bookings double check to make

sure that all of the details are correct for the entire reservation.

 

Please make sure that all guests are aware of the baggage restrictions.

• We have a luggage restriction of 20kg per person including hand luggage in soft, hold-all-type bags; (no hard

suitcases with wheels or frames) for all light aircraft transfers. If baggage is in hard cases or over-weight, guests

can expect to pay for excess luggage and in the worst case a charter.

 

Child Policy:

Children are welcome at all of our lodges.

·         Mobile Safaris accept children from 07 years and older unless prior arrangements are made.

·         Oddballs' Camp and Delta Camp offer family units and welcome children from birth.

 

Take Note:

We endeavour to ensure that all the information on our invoices, on our website and in our brochures, is

accurate. Before your booking is confirmed ensure all details are correct for the entire reservation.

All accommodation and flight rates quoted are subject to change without prior notice.

 

Visa fees, where applicable, are not included. Departure taxes, on internal transfers within Botswana, are

included.

 

Carriage with Delta Air :

       - Guests within the same party booked on Delta Air flights are not guaranteed to be on the same aircraft.

       - Delta Air will do everything possible to assist families and groups and to fly them together and/or at

        similar times, but this is subject to operational requirements.

       - Confirmed bookings are subject to automatic release if the passengers’ full names are not received at

         time of confirmation.

        - Should your luggage exceed the above limitations (20kgs in total in SOFT CASES) and we are not able to fit

         it on the aircraft we do provide a complimentary luggage storing facility in Maun which is our principal

         base of operations.

       - If excess luggage needs to be transferred from Maun to Kasane or vice versa, this will be for the clients

        account (see below).

      - Excess luggage always remains the responsibility of the affected passenger and they will be charged at

       the applicable seat rate, should their bags be overweight.

     - Oversized bags cannot be carried on guest’s laps. Safety is key to Delta Air’s operation and unsecured

      objects inside the cabin are hazardous and against CAAB regulation.

     - If guest’s know that they will have excess luggage they should book and pay for an additional seat in

      advance of any of their flights. If this has not been pre-booked a seat may not be an available option on

      the day of departure.

    - The extra seat will allow for an extra 30kgs of luggage allowance and this extra luggage must in all cases

     still meet the Maximum Luggage Size Restriction

     - Guests over the weight of 100kgs will have to book an additional seat to comply with Civil Aviation

      Authority laws and regulations so that we can keep our weights and balances correct and all passengers

      safe.

We have luggage restrictions which comprise of the following:

 • Soft (all sides) luggage/duffel bags with no rigid sides or wheels.

• Maximum total luggage weight is 20kg (44lbs) per passenger including checked and hand luggage

• Maximum hand luggage is 5kg (11lbs) (1 piece allowed) which is part of the 20kg (44lbs) total luggage

  limitation

• Maximum checked luggage size is 30cm (12 inches) wide x 35cm (14 inches) high x 70cm (28 inches) long

  in SOFT BAGS c. No hard-shelled luggage is permitted
