Zimtrek Travel Terms and Conditions
These Terms & Conditions govern all travel arrangements made through Zimtrek Travel (“the Company”). By confirming a booking, you acknowledge that you have read, understood, and accepted the following conditions. Terms may be updated from time to time; the version issued at the time of booking will apply.
1. Pricing & Availability
All prices are quoted in USD unless otherwise stated. Rates and availability are subject to change without notice, particularly during peak travel periods and in relation to currency fluctuations across destinations. Quotations are not guaranteed until your booking has been confirmed in writing.
2. Charter Flights & Travel Requirements
If your itinerary includes charter flights, kindly note:
A 20kg total luggage allowance per person, strictly in soft bags only.
Travellers weighing over 100kg may be required to purchase an additional seat.
Families travelling with minors (under 18) must ensure the correct documentation—such as birth certificates or letters of consent—in accordance with the entry requirements of all countries visited.
It is your responsibility to:
Hold a valid, machine-readable passport with sufficient blank pages and at least 6 months’ validity beyond your return date.
Secure all necessary visas for countries visited and transited.
Check relevant airline websites prior to each flight to confirm no schedule changes have occurred.
Understand all amendment and cancellation conditions before paying the non-refundable deposit.
3. Payment Terms
A 30% non-refundable deposit is required to confirm your booking. The exact amount may vary depending on travel dates and supplier conditions.
Full payment is due 60 days prior to departure.
International travellers may pay via bank transfer to the account supplied by Zimtrek Travel or via our secure online payment gateway (4.5% surcharge applies).
Bookings are only confirmed once payment reflects in our account.
4. Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of paying your deposit. Your policy should provide cover for:
Trip cancellation and loss of deposit
Medical expenses and emergency repatriation
Travel delays
Loss or damage to baggage and valuables
Any additional or specialised insurance requirements remain your responsibility.
5. Changes, Delays, Liability & Traveller Conduct
Zimtrek Travel will always strive to assist if disruptions occur due to flight delays, weather, illness, or personal oversight. However, any additional costs or cancellation fees incurred as a result will be payable by the traveller.
The Company cannot be held responsible for:
Unused portions of your itinerary
Lost, mislaid, or destroyed travel documents
Traveller conduct resulting in removal from accommodations, tours, or flights
If, in the reasonable opinion of Zimtrek Travel or any supplier (such as a lodge manager or tour leader), your behaviour compromises safety, causes damage, or significantly affects the enjoyment of other guests, your holiday may be terminated without refund or compensation.
6. Cancellation Policy
While each supplier has its own cancellation terms, the following serves as a general guideline:
Deposit: Non-refundable
30–59 days prior to travel: 50% of total trip cost forfeited
29 days or fewer: 100% of trip cost forfeited
Supplier-specific policies that differ from the above will apply where relevant.
7. Data Protection & Confidentiality
Zimtrek Travel respects your privacy and is committed to protecting the personal information you share with us. We apply reasonable safeguards to secure your data and only share essential details with service providers directly involved in delivering your itinerary (such as lodges, airlines, transfer companies, or activity operators).
While we work with reputable suppliers who generally uphold strong data-protection standards, we cannot guarantee the data-handling practices of all third-party providers. By confirming your booking, you acknowledge that some sharing of personal information is necessary for the fulfilment of travel services and that Zimtrek Travel is not liable for breaches occurring at supplier level.
