How to book

Please let me know via email when you are ready to book.

  • To confirm your booking, simply accept this quote. Our standard Terms & Conditions (view here) will apply.
  • A 30% deposit is required to secure your reservation. While paying a deposit months in advance may seem unusual, it ensures we can reserve all rooms and services for your journey.
  • Any local airline flights will need full payment at booking to issue tickets. Rates are a guide based on current availability and may be adjusted once confirmed.
  • You’ll receive our booking form to complete with your details.
  • The balance of your trip will be due 70 days before departure.
  • Payments can be made by wire transfer to our ZAR or USD account with Standard Bank in Cape Town. Visa and MasterCard are also accepted.
  • USD services will be invoiced separately from ZAR invoices, but payment can be combined using the exchange rate of the day of payment.
  • Once the deposit is paid, your booking is confirmed, and the final balance is due 70 days before arrival.
  • After full payment, we’ll issue your final itinerary, vouchers, and tickets.
  • For bookings made within 10 weeks (70 days) of arrival, full prepayment is required at confirmation.

Provisional Bookings

Wherever possible, we place a provisional hold with lodges and suppliers for rooms on your quote. Many properties we use are small and highly sought-after. This hold generally lasts 5–10 days, depending on the supplier. If demand is high and a lodge requests confirmation, we’ll have a 72-hour window to confirm your booking from when we notify you.

IMPORTANT TRAVEL INFORMATION

Travel Insurance

We strongly recommend arranging travel insurance in your home country at the time of booking. Insurance should cover personal effects, accidents, medical emergencies, and trip cancellation. Note that travel insurance is not included in your package.

Please note our standard cancellation policy:

  • 61+ days before departure: Deposit non-refundable
  • 0-60 days before departure: 100% Cancellation fee

Visa/Passport Requirements

You are responsible for securing correct travel documentation before departure. The Explore and Travel Africa Company can offer guidance, but you must ensure you meet all requirements. For many destinations, visas are available on arrival but this can change without notice. Your passport must be valid for at least six months from entry and contain a minimum of two consecutive blank visa pages per country. For multiple-country travel, we recommend at least 4–5 blank pages. These need to be VISA pages, not endorsement pages. If there is insufficient space in the passport then entry into South Africa and other countries will be denied. All passport holders should verify their visa entry requirements with their respective consulates for each country visiting.

Vaccinations

Consult your doctor or travel clinic before departure for updated vaccination advice. Some countries require a yellow fever certificate. It is your responsibility to ensure all vaccinations are up-to-date and documented. The Explore and Travel Africa Company cannot be held liable for delays or entry issues related to vaccinations.

Air Travel

If this itinerary includes scheduled or charter flights, please note that airlines may adjust schedules or routes at their discretion. The Explore and Travel Africa Company cannot be responsible for these changes, but we’ll assist in finding alternative solutions where possible.

Safari destinations are often remote and not easily accessible by road, making light aircraft charter flights an integral part of the experience. On charter flights in Africa, baggage restrictions apply. Checked bags must be soft-sided duffel bags weighing between 15 kg (33 lbs) and 20 kg (44 lbs). We’ll provide specific information for your booking. If you’re returning to the same airport, airlines often offer storage for excess baggage.

Most charter flights operate on a seat-sharing basis, so you may share the flight with other guests, and there could be up to three stops en route. Flight times are confirmed the day before and shared with the camp manager. On arrival, the aircraft will depart shortly after you land, and on your final day, you’ll reach the international airport in time for onward travel.

Passenger Weight Regulations:

Each passenger’s weight contributes to the aircraft’s overall weight and must be provided to the supplier. Weight limits per passenger (excluding luggage) range from 90 kg (198 lbs) to 115 kg (254 lbs). For passengers exceeding this limit, a surcharge may apply to accommodate the additional weight.
