Itinerary Terms and Conditions
The above quote is subject to availability at the hotels and lodges and flights detailed in the itinerary. Should rooms not be available at time of booking at these hotels, alternative accommodation at similar hotels/lodges will be made – these changes will be made at the discretion of Exclusive Africa Tours and will be communicated in writing prior to final payment.
•The itinerary and prices will be valid at today’s date and will remain subject to currency fluctuation and airfare increases prior to full payment being received by Exclusive Africa Tours.
•The quote is based on travel in the month's/day's requested only.
•Prices quoted are subject to change due to economical changes or circumstances beyond our control; however Exclusive Africa Tours will endeavour to make all efforts to maintain the given rates where possible.
•We strongly recommend travellers take out comprehensive travel and cancellation / curtailment insurances.
•Please ensure that all passports are valid and that all visa requirements have been fulfilled.
•No bookings have been made with any operator or service provider
•Bookings will be secured only when a complete Booking Form is received by Exclusive Africa Tours and all Terms and Conditions are agreed upon.
This only is a quotation and subject to availability of accommodation and outside services. Although Exclusive Africa Tours will make all effort to maintain the given rates and services as specified in the given quotation, we
do reserve the right to amend the given rates/prices and services due to circumstances beyond our control. These could include changes in accommodation prices, fuel increases and General Sales Tax/VAT or any other Governmental increase or levy.
Bookings/confirmations and cancellations shall take place in accordance with our Booking Terms and Conditions, of which a copy is available on request.

Please note that the above prices are based on rates and tariffs currently made available to us and may change without prior notice due to the fluctuating exchange rates and other factors beyond our control. The Company policy requires a written confirmation to confirm the travel arrangements with a 50% Deposit of the total tour price, and the balance due no less than 45 days prior to the departure date. Bookings made within 30 days of departure must be pre-paid up in full.
As per the Company booking Terms and Conditions, the following cancellation fees apply:
Cancellation of a confirmed booking falling within the 30 days prior to the arrival date of your tour entails the loss of the full deposit.
Up to 6 weeks prior to departure -50% of the total Tour Price (loss of Deposit paid)
Up to 2 weeks prior to departure -75% of the Total Tour Price
Less than 2 weeks prior dept. -100% of the Total Tour Price
No refund will be made by the Company if a client has booked the Tour and for any reason does not undertake the Tour, without having given a written cancellation to the Company prior to departure. No refund will be made by the Company if, for any reasons, inclusions or parts of the Tour cannot be carried out and/or utilized. These would include all facets such as meals, accommodation, game-drives and any other activities.
NOTICE FOR ALL ONLINE BANKING TRANSACTIONS & FOREIGN CURRENCY PROPOSALS
When quoted in any currency other than the Namibian Dollar, we are by law obliged to invoice & receive a payment in Namibian Dollar. The quoted amount for e.g. US$ or Euro will then be converted into the local Namibian Currency. The consumer exchange rate offered on invoices to you is determined by the Bank of Namibia and the relevant local Bank we are working with and is based upon such factors as we determine relevant, including without limitation, exchange rates charged by other parties, desired rates of return, market risk and other market and economic factors. When you receive a proposal in any foreign currency the invoiced amount in local currency is thus based on the above factors and exchange conditions. Seeing that International exchange rates “change” by the minute there will always be a difference to your Foreign Currency Quote received, the Namibian Dollar payment due and the effective exchange rate charged to you, which we are not held liable for.
When paying via an online payment facility like Exchange4Free you are asked to confirm the “current” exchange rate quote which is an “ACTUAL & LIVE” exchange rate. You may accept or decline the rate quotation which after 60 seconds will automatically “reset” the live exchange rate. If you accept our rate quotation and we have not canceled your order, you have entered into a final and binding transaction at the rate you accepted. Exchange rates shown in the newspaper and on some currency conversion sites are generally interbank rates available only to banks under certain conditions. These rates are not generally available to consumers obtaining foreign currency for international travel. Exchange rates offered by other dealers or shown at other sources (including online sources) may be different from the Bank of Namibia or our related exchange rate sources and even your exchange rate sources.
