AfriTourism Collection Terms and Conditions
BOOKING PROCEDURE :
All bookings must be made in writing to the Company or through the Company’s website
and must include at least the following information:
1.1. full names and nationality of Guests;
1.2. dates for which bookings are made;
1.3. number of rooms; and
1.4. Special dietary requirements (if applicable);.
1.5. Provide medical and travel insurance details
1.6 Source agent if a DMC
GROUP BOOKINGS
2.1. All Group Bookings must be made in writing to the Company which must include at least
the following information:
2.3 Group Name,
2.3 Booking Agent Name,
2.4 Originating Agent name;
2.5 Dates for which bookings are made;
2.6 Number of rooms; and requested properties/services
2.7 Name of tour leader (if applicable)
2.8 Nationality of guests
PAYMENTS :
All payments must be made in advance as set out in our terms and conditions
Payments must be made via Bank transfer for the FULL invoiced amount (please be aware
of bank charges)
Please use the Reservation number as Reference
Kindly submit your proof of payment to us - accounts@afritourismcollection.com
BOOKING PROCEDURE :
To facilitate your reservation with us, please adhere to the following booking process:
Submit all bookings in writing to the Company or through our website, ensuring inclusion
of the following details:
1.1 Full names and nationality of Guests
1.2 Dates for the intended bookings
1.3 Number of rooms required
1.4 Special dietary requirements (if applicable)
1.5 Provide medical and travel insurance details
1.6 Indicate the source agent if applicable
1.7 For ALL bookings use the following email address: res@afritourismcollection.com
GROUP BOOKING REQUIREMENTS
For all Group Bookings, a written submission to the Company must include, at minimum,
the following details:
Group Name
Booking Agent Name
Originating Agent Name
Dates of the intended bookings
Number of rooms and requested properties/services
Name of the tour leader (if applicable)
Nationality of guests
PAYMENTS INSTRUCTIONS :
All payments must precede per our terms and conditions.
Complete payment via Bank transfer for the FULL invoiced amount, mindful of bank
charges.
Utilise the Reservation number as your Reference.
Submit your proof of payment to us at accounts@afritourismcollection.com
BOOKING CONFIRMATIONS
Provisional bookings are held for two weeks, automatically released if unconfirmed.
A 25% non-refundable deposit is necessary to confirm a provisional booking.
For confirmed bookings, full payment is due 65 days before travel.
If confirmed within the 65-day period, the full amount (100%) is payable upon booking.
Cancellations follow the policy below.
No cancellations or amendments without written notification.
Payments must be free of bank charges, borne by the payer.
BOOKING CANCELLATION POLICY
The following cancellation policy applies to bookings for Afri Tourism Collection camps and
services:
• 25% cancellation fee (deposit forfeit) from confirmation to 70 days prior to travel;
• 75% cancellation fee if cancelled 69 - 45 days prior to travel;
• 100% cancellation fee if cancelled 44 days or less prior to travel and any no-shows.
For Group Bookings - Reduction in rooms: After Confirmation!!
In the event of a decrease in the number of participants after the group booking has been
confirmed, cancellation fees will be applied based on the number of released beds. For
bookings involving third-party services, the applicable terms and conditions of the third
party will be in effect, and these can be provided upon request

ORIGINATING AGENT
Afri Tourism Collection is dedicated to regional and international marketing. We kindly request all DMCs/agents
to furnish details of their originating agents at the time of booking. Your cooperation in providing this
information is greatly appreciated.
OTHER:
INSURANCE
As a booking condition, it is essential for guests to possess comprehensive travel and medical insurance, covering
themselves and any dependants or travel companions. This insurance should encompass various scenarios,
including, but not limited to, safari cancellation or curtailment, emergency evacuation expenses, medical costs,
hometown repatriation expenses, as well as coverage for damage, theft, or loss of personal belongings, money,
and goods..
TOUR LEADERS / PILOTS & GUIDES:
Tour Leader, Guide & Pilot rate includes accommodation and all activities.
1 – 5 Full Paying Clients: Tour Leader etc is charged $150 in High & Shoulder Season. No charge for Green
season.
6 -12 Full Paying Clients: Tour Leader etc is charged $120 in High & Shoulder Seasons. No charge for Green
Season.
13 or more Full Paying Clients: One Tour Leader etc is accommodated free of charge.
CHILDREN (ages 7 - 12)
It's crucial for both the source agent/booking agent and parent/guardian/s to be aware of the following:
Our camps and lodges are situated in wilderness areas with free-roaming wildlife.
No children under 7. Children aged 7 - 12 are permitted on safari only when accompanied by parents /
guardians at all times. To ensure a more personalised experience, a private vehicle / activity must be booked
(refer to our rates). However, parents / guardians acknowledge that the guide can terminate the activity if the
child's behaviour compromises safety. Accommodation for children 7 - 12 years are charged at 50% adult rate.
Activities are charged at full adult price.
Accommodations allow for a single child to share rooms with parents on a child bed.
INDEMNITY
Afri Tourism Collection shall not be liable for costs arising from factors beyond our control, including but not
limited to force majeure, war, riots, terrorist activity, natural disasters, health risks, flight changes or
cancellations, and similar events.
We are not responsible for any consequential losses, whether direct or indirect.
Guests are required to address issues during their stay directly with the relevant Camp Management.
Retroactive remedies will not be considered for matters not raised during the stay.
This rate manual is subject to Errors and Omissions Excepted. All prices and details are subject to change
without notice and may be subject to correction.
All legal matters arising from our terms and conditions will be governed by Botswana law.
