Itinerary Terms and Conditions

Itinerary is assisted comfortable camping with participation limited to only helping with the tents

The tents are canvas dome type, which are easy to assemble. The mattress is approximately 5 cm thick with its mattress cover and each client has a camp chair with backrest.

Luggage is limited to one soft, barrel type bag per person with maximum weight of 15-20kg, one medium sized hand luggage bag, one medium sized camera bag and a sleeping bag.

We suggest a sleeping bag range of '3 – 4 season'. Sleeping bags can be rented by prior arrangement. When selecting your clothing please be aware that Namibian summer temperatures (December - March) can reach 45°C and winter temperatures (June - September) can be as low as -5°C. The rainy season is between December and April.

All evening meals on camping safaris (unless stipulated) are cooked by your guide on an open fire. Salads and fresh vegetables will be served daily where readily available. Fresh fruit will also be supplied when possible. Vegetarians and other dietary requirements can be catered for, but please notify us when booking.

Terms and Conditions 

Effective Date: 1 January 2026

These Terms & Conditions replace all previous versions and apply to all bookings made from 1 January 2026 onward. 

By making payment, you confirm that you have read, understood, and agreed to these Terms & Conditions. 

1. Procedure for Bookings, Confirmations and Payments 

Upon receiving a service enquiry, Bluecrane Safaris Namibia will prepare a proposal and quotation based on the client’s requirements and subject to availability.

  • Provisional bookings are made and may be held for up to 10 working days. 
  • Extensions of provisional bookings may be requested from suppliers but are not guaranteed. 
  • Upon acceptance of the proposal, an invoice will be issued. 
  • A 25% non-refundable deposit is payable immediately to confirm arrangements. 
  • Bookings are only fully confirmed once the deposit has been received. 
  • Until deposit receipt, bookings may be subject to cancellation due to high demand. 

The remaining balance is payable 60 days prior to the commencement date. 

  • Bookings made within 60 days of travel require full payment immediately. 
  • All banking charges (both sending and receiving) are for the client’s account.
  • Bluecrane Safaris reserves the right to cancel reservations if payment is not received when due. 

Any dispute shall be governed by the laws of the Republic of Namibia. 

  

2. Travel Agreement / Contract 

This agreement is between the client and Bluecrane Safaris Namibia. 

  • A booking is defined as a reservation made by the client or the client’s travel agency.
  • The client is the person accepting the booking for themselves or on behalf of others. 
  • A travel agency is any entity placing or accepting a booking for individuals, groups, or companies. 

3. Deposits and Payment 

  • 25% non-refundable deposit is required upon confirmation. 
  • The balance is due 60 days prior to departure. 
  • Bookings made within 60 days of departure require full payment immediately. 

4. Cancellation Policy 

All cancellations must be made in writing. 

The following maximum cancellation charges may apply:

No refund will be made for late arrivals, no-shows, or early departures. 

  • Travel insurance should cover such circumstances. 

5. Travel Insurance

  • Cancellation insurance is mandatory. 
  • Clients must hold valid travel insurance covering cancellation. 
  • Refunds relating to cancellation are subject to the terms of the client’s insurance policy.

6. Passport and Visas 

  • Clients and travel agents are responsible for ensuring valid passports and visas. 
  • Passports must meet entry requirements for all destinations visited. 
  • Bluecrane Safaris Namibia is not liable for refusal of entry into any country. 

7. Changes and Delays 

7.1 Changes by the Company 

Bluecrane Safaris reserves the right to amend itineraries due to circumstances beyond its control, including: 

  • Airline schedule changes 
  • Road conditions 
  • Weather conditions 
  • Mechanical breakdowns 
  • Accidents 
  • Political instability 

Alternative arrangements will be made where possible, but no liability will be accepted. 

7.2 Changes by the Client 

  • Requested itinerary changes are subject to availability. 
  • Cancellation fees may apply. 
  • Revised quotations must be confirmed in writing. 

8. Authority on Tour 

  • The tour guide’s decision is final regarding safety and group welfare.
  • Clients must comply with all laws, customs, and regulations. 
  • A client causing danger, disruption, or legal violations may be removed from the tour without refund. 

9. Accidents and Indemnity 

While all reasonable precautions are taken to ensure safety: 

  • Participation is at the client’s own risk.
  • Bluecrane Safaris Namibia shall not be liable for injury, death, loss, or damage. 
  • Clients waive rights to claims against Bluecrane Safaris Namibia. 
  • Clients indemnify and hold Bluecrane Safaris Namibia harmless against all claims. 

10. Health Requirements 

  • Clients must ensure they are medically fit to travel. 
  • Vaccinations such as Hepatitis are recommended. 
  • Anti-malaria precautions should be taken where applicable. 
  • Clients should bring insect repellent and necessary medications. 

11. Insurance Requirements 

All guests must carry insurance covering: 

  • Medical expenses 
  • Emergency evacuation 
  • Baggage loss 
  • Cancellation or curtailment 
  • Personal accident 

12. Liability and Responsibility 

  • Bluecrane Safaris Namibia acts as an agent for service providers. 
  • The company is not responsible for accidents, injury, delay, loss, or damage. 
  • Tours are subject to the terms of airlines, hotels, restaurants, and contractors. 
  • Any legal action must be brought within Namibian jurisdiction. 

13. Emergency Medical Evacuation Insurance 

Bluecrane Safaris Namibia provides Emergency Medical Evacuation coverage to transport a guest to the nearest primary medical facility, typically in: 

  • Windhoek 
  • Otjiwarongo 
  • Swakopmund 
  • Walvis Bay 

Coverage applies until hospital admission. All further medical expenses are the responsibility of the guest or their travel insurance provider. 

14. Payments – How to Pay 

Payments quoted in NAD / ZAR / USD / EUR / GBP may be made via: 

  • SWIFT/Wire transfer to our Namibian bank account (details provided on invoice) 
  • Credit Card (Visa or Mastercard only; 2.5% surcharge applies) 

Services quoted in USD must be paid via SWIFT/Wire to the designated Namibian USD account as indicated on the invoice.
