The Mobile Tented Camp Standards
To accommodate every travel style, our private mobile camps are serviced daily by a dedicated team (including expert bush chefs) and are offered at three distinct tiers:
Luxury Level: Features spacious, 6.5m x 4m Meru tents with fully zipped en-suite bathrooms, twin beds with crisp linens, hanging cupboards, running shower water, and solar lighting.
Standard Level (Scheduled Departures): Comfortable 4.5m x 3m safari tents featuring twin beds, solar lighting, and private en-suite bucket showers and toilets.
Basic Level: Designed for adventure-seekers, utilizing robust 3m x 3m dome tents with stretchers or bedrolls and shared, professionally erected ablutions.

Pride of Africa Safaris Terms and Conditions
General Terms & Conditions – Pride of Africa Safaris
The Company (PRIDE OF AFRICA) shall not be liable for any failure or delay in performance due to causes beyond its control, including but not limited to war, civil unrest, terrorism, government action, natural disasters, epidemics, or labour disputes.
If the Tour Operator fails to comply with these terms and conditions, PRIDE OF AFRICA reserves the right, to cancel or decline bookings, even where confirmation or payment has been received.
1. General
• STO (Standard Tour Operator) rates apply only upon receipt of a signed acceptance of the Rate Sheet.
• All rates are per person sharing per night, unless otherwise stated.
• All prices are quoted in U.S. Dollars (USD).
• Rates are subject to change if there are adjustments to VAT or the BTO Levy, except for fully confirmed and/or prepaid reservations.
• In rare and extreme circumstances (e.g. a significant rise in cost of living), Pride of Africa Safaris reserves the right to adjust rates, even if published or previously agreed. Fully confirmed and prepaid bookings remain unaffected.
2. Reservations
• Email Bookings: All other bookings must be made in writing via email and must include estimated time of arrival, guest names, nationality or country of booking origin, guest contact number, and any dietary or medical requirements. This is the preferred booking method.
• A reservation is confirmed only upon written confirmation from Pride of Africa Safaris.
• It is the responsibility of the Tour Operator or Consultant to verify all booking details. Errors not queried in writing will not be the responsibility of Pride of Africa.
3. Booking Status Definitions
• Provisional Reservation: The room is held temporarily with an expiry date. If no written confirmation is received before expiry, a follow-up email will be sent. If it is the last available room, Pride of Africa may decline to extend the expiry and release the room after notifying the agent by email.
• Confirmed Reservation: The room is secured and confirmed once a deposit has been paid. Cancellation terms apply will apply as per cancellation clause.
On confirmation please supply:
• Names as in passport
• Passport Number & Expiry Date
• Date of Birth
• Nationality
• Dietary Requirements – if any
• Rooming List
• Emergency Contact details
• Amended Reservation: For any change to dates, number of rooms, or meal basis, please reply on the original email thread to retain the reservation reference number.
• Online Over-Occupancy: If a booking is made for 1–2 persons and more guests arrive, Rack Rates will automatically apply for the additional guests, payable immediately if space is available.
• Due to the increase in false rooming lists and cancellations outside policy, rooming lists alone will no longer be accepted to secure rooms.
4. Child Policy
• Children of all ages are welcome but remain the full responsibility of their parents.
• Children under 12 always need to share with a parent.
Child Rates:
• Ages 0–5: Free of charge when sharing with parents
• Ages 6–12: 50% of Adult Rate when sharing with parents (unless otherwise specified).
• Ages 13+: Adult rate applies.
• Date of birth must be provided at booking to qualify for child rates.
• The child policy does not apply to extras.
• Single Parent Policy: One parent with children aged 0–5 will be charged single rate plus child rate;
one parent with children aged 6–12 will be charged sharing rate plus child rate.
5. Guide Policy
• Guides are accommodated at a special rate (see rate sheet).
• One guide/driver/pilot is allowed at the special rate for every four guests. Additional guides are charged normal STO rates.
• Guides must be employees of the Tour Operator and, if not citizens of Botswana, must hold valid work permits.
• Tour Leaders without a work permit for Botswana are not eligible for discounted rates.
• During peak season, guides may be required to share rooms; this will be communicated and agreed upon in advance.
6. Payments
• A Pro Forma Invoice will be emailed with confirmation. STO rates are binding unless otherwise agreed in writing.
• The Tax Invoice will be sent by email upon guest check-out, unless requested earlier.
• A 20% deposit is required to confirm all reservations; the balance is due 30 days before arrival (unless otherwise agreed in writing).
• Failure to adhere to payment terms may result in guests being charged directly at the lodge.
• All bank charges and short payments are for the Tour Operator’s account.
• Proof of payment must be sent to: christel@prideofafrica-safaris.com.
• Guests may pay directly by cash or credit card
• Banking details appear on all invoices issued.
7. Cancellation Policy
Cancellations must be made in writing and acknowledged by Pride of Africa. Please ensure you receive written confirmation of cancellation.
Cancellation fee will be calculated on the total of the invoice.
Groups (7+ people):
• 61+ days before arrival: 10% of deposit amount paid.
• 60–22 days: 20%
• 21–16 days: 50%
• 15–8 days: 75%
• 7–0 days: 90%
FITs (6 people or less):
• 31+ days before arrival: 10% of deposit amount paid.
• 30–22 days: 20%
• 21–16 days: 50%.
• 15–8 days: 75%.
• 7–0 days: 90%
8. Provisional Bookings – Holding Periods
Please note Provisional Bookings will be held as per below periods.
Arrival within:
• 1 week → hold for 48 hours.
• 2–3 weeks → hold for 5 days.
• 4–8 weeks → hold for 10 days.
• 2–4 months → hold for 21 days.
• 5–8+ months → hold for 30 days.
• If no response to the expiry reminder is received within 48 hours, the booking may be cancelled in writing.
• If another confirmed request is received for the same dates, Pride of Africa Safaris may request the release of the provisional booking. Failure to respond within 48 hours may result in cancellation.
Waitlists
• Partial waitlists will not be processed. If part of a booking cannot be confirmed, the entire booking remains waitlisted.
• If a waitlisted booking wishes to confirm with a 20% non-refundable deposit, Pride of Africa may request the currently holding operator to confirm or release their rooms within 72 hours.
• If the current holder fails to respond or releases the rooms, a pro-forma invoice will be issued, and the 20% deposit will be due within 14 days.
• Failure to pay or provide proof of payment may result in release of the reservation.
• If another operator offers to prepay regardless of arrival date, Pride of Africa Safaris reserves the right to request payment or release of the rooms.
9. Community & Conservation Contribution Levy
As part of Pride of Africa’s commitment to community upliftment and environmental sustainability, a Community & Conservation Contribution (CCC) Levy has been implemented. The CCC Levy supports community development, wildlife protection, and the conservation of natural habitats in the all areas in which Pride of Africa operates.
• A non-refundable levy of USD 5 per person per night will be added to all bookings.
• For Mobile Safaris, a non-refundable levy of USD 20 per person per stay will apply.
• The levy is not applicable to children aged 0–5 years.
• Applies to all persons aged 6 years and above, excluding pilots and guides.
• The CCC Levy is non-refundable, including in the event of booking cancellation.
The above Terms and Conditions constitute a binding agreement with Pride of Africa and apply to all confirmed bookings and enquiries.
