3. Bookings & Reservations
A booking is confirmed only when we receive a completed booking form and a deposit (see Section 4). All services are subject to availability at the time of booking. Special requests (e.g., dietary needs, room types) will be noted but cannot be guaranteed.
4. Payments
A 30% deposit of the total trip cost is required to secure your booking. Certain items such as flights or permits may require 100% upfront payment. The balance must be paid no later than 60 days before the start date of the trip. If the balance is not received by the due date, the Company reserves the right to treat the booking as cancelled. Payments may be made in USD/ZAR/GBP/EUR via bank transfer, credit card, or other agreed methods.
5. Cancellations by the Client
All cancellations must be received in writing. Cancellation charges apply as follows:
- 90 days +: 20%
- 46 - 89 days: 50%
- 0 - 45 days: 100%
We strongly recommend travel insurance to cover cancellations. In all circumstances we will work closely with our suppliers to mitigate cancellation fees or negotiate postponements where possible. Some fees such as banking and forex charges are outside our control and will be borne by the client. Air tickets and trekking permits may carry stricter cancellation terms.
6. Cancellations by the Company
We reserve the right to cancel a trip due to unforeseen circumstances (e.g., safety concerns, insufficient participants). In such cases, we will offer an alternative trip of equal value or a full refund (excluding non-refundable third-party costs). We are not liable for additional expenses incurred by the client (e.g., international flights, visas).
7. Travel Insurance
Comprehensive travel insurance (including medical evacuation, cancellation, and curtailment) is mandatory for all clients. Proof of insurance may be requested prior to departure.
8. Client Responsibilities
Clients are responsible for ensuring they have valid passports, visas, vaccinations, and other travel documents. Clients must disclose any medical conditions or special needs before booking. The Company reserves the right to decline participation if a client’s health or behavior poses risks to themselves or others.
9. Liability
The Company acts only as an agent for third-party suppliers such as hotels, airlines, and activity operators. We are not liable for any loss, damage, delay, or injury caused by third parties. Participation in safaris and wilderness activities carries inherent risks which the Client accepts by booking. To the maximum extent permitted by law, the Company is not liable for any injury, illness, loss, or expense during the trip.
