Terms and Conditions

Double Tracks Africa Terms and Conditions

By making a booking for, and subsequent payment in respect of, any Services and by accepting and participating in such Services, all Clients acknowledge that they have read and fully understand the content of these Terms and Conditions and agree to be bound by these Terms and Conditions.

All requests for quotes, provisional bookings, confirmed bookings, amendments and cancellations must be received in writing via e-mail. Safaris and all other services are booked subject to availability and held provisionally for 14 days. The booking will be confirmed upon the receipt of a 25% non-refundable deposit. This deposit must be paid at the time of the booking confirmation, on or before the provisional expiry date. Should this not be received, we reserve the right to release the booking. The balance of payment is due 6 weeks prior to travel date. Should this not be received, the system automatically releases the booking on the Booking Expiry Date. Once the reservation is fully confirmed, Double Tracks Africa Travel, requires detailed information from the Guests.

CANCELLATION POLICY:

Double Tracks Africa cancellation policy is guided by those imposed upon by the Suppliers that is Airlines, Lodge Operators, Hotels any other contracted service provider and is the scale of charges expressed as a percentage of the tour cost quoted. Cancellations are only effective on receipt of written notification. A cancellation fee, the scale of which, expressed as a percentage of the tour prices, will be levied as follows:

1. in an event of a cancellation be received once a confirmed status is held, 25% of the contracted rate will be charged per non-refundable deposit.

2. in the event of a cancellation 60 (sixty) to 31 (thirty one) days prior to the date on which the Services are set to commence, 50% (fifty percent) of the total payment in respect of the booking will be due and payable;  and

3. in the event of a cancellation 30 (thirty) days or less prior to the date on which the Services are set to commence (including any “no shows”), 100% (hundred percent) of the payment in respect of the booking will be forfeited.

Please Note: Should clients fail to arrive on the due arrival date, start their trip after due departure date or leave before the trips completion, no refund will be made.

INSURANCE:

It shall be the sole responsibility of every Client to arrange and effect his/her own insurance cover and to ensure that he/she and his/her dependents and travelling companions have adequate cover for the duration of the booking.

Double Tracks Africa strongly recommends that clients obtain, inter alia, the following types of insurance which are commercially available:

i. accidental death and disability;

ii. major medical;

iii. emergency medical evacuation;

iv. loss of personal effects; and

v. Trip cancellation.

Details of clients’ major medical and emergency medical evacuation insurance are to be provided to us on confirmation of the booking.

PAYMENT TERMS

All prices quoted EXCLUDE any bank charges related to the transaction. Please note that you are responsible for the cost of any bank charges incurred in any of the payment processes. All payments must be made in the currency in which the quotation/ proposal was accepted, or in which the invoice is made out. We encourage payments to be made through electronic or telegraphic bank transfer (TT).

Please note: Payment by cheque will not be accepted. 

Please e-mail payment confirmation to Double Tracks Africa Reservations or to the consultant you have been dealing with. Note that without this information, Double Tracks Africa will not be able to credit the account/booking immediately, and the account/booking will continue to show as unpaid in our records and on your statements, causing delays in your booking confirmation. Please ensure therefore, that the correct reservation number is quoted on any correspondence pertaining to a booking, or a payment to ensure that the Finance Department can allocate the money correctly.

Credit Card Payment: Please note we do ACCEPT credit card payment by sharing payment link via email. Fluctuations with regard to the rate of exchange are beyond our control.

Surcharges and Exchange rates: In the event that any additional taxes, tariffs or charges are levied by any authority, body or Third Party Contractor in respect of the Services after the date on which the booking was made and prior to the commencement date of the Services in respect of which the booking was made, the Company reserves the right to recover such additional taxes, tariffs or charges from Client.  Any such additional taxes, tariffs or charges shall be invoiced to Client and must be settled as per the standard terms applicable to the booking.

CHANGES TO BOOKINGS:

Any request by a Clients to amend or change a booking once it has been confirmed may be accommodated only subject to availability.  If our service providers are able to assist, and depending on the nature and extent of the change, a reasonable administrative fee may be charged by the Company.  Any such administrative fees shall be invoiced to Client and must be settled as per the standard terms applicable to the booking.
